Contacts

The contacts section allows you to store and keep an ordered list of contact information on colleagues and friends. You can store email addresses, street addresses, phone numbers, pager numbers and instant messaging numbers.

You can use the contacts page as a communication center to directly send email.

The Contacts Page uses nick names as an association for email addresses. You can compose a message and select several nicknames to be added to the recipient list of your message. You can also specify instant messaging and pager numbers to which you can email messages.

There are two possible views for the contact list (how you see the list):

a. Icon View where you see only general icons related to each feature of the messaging tools.
b. Detailed View where you see a more comprehensive listing of your various messages and where they came from.
 
Add a Contact (Nickname)
 
1.  From the left navigation navigation bar, click Contacts and then click the Add button.
TIP: You can also click the Add to Contacts link in the Read Message window.
2. Enter a unique nick name in the first box.
3. Enter the email address in the second box.
4.  If you want to store the contact's ICQ™ number, type the number and click Add to ICQ™ Client. The ICQ™ search engine will search for the specified number and add it to the contact's other information.
5. Enter additional information about the contact.
6. Click Save. The Contacts page reappears with the new contact that you added.

Modify a contact
 
1.  Click Contacts from the left navigation bar.
2.  Mark the check box next to the contact you want to modify. Click the Modify button.
3.  Make the appropriate changes and click the Save button.
4.  Alternately you can click the contact nickname and perform the same steps above to modify the contact.

Define a group
 
Defining a group with several contacts allows you to send a message to several people at once.
 
1. From the left navigation bar click Contacts.
2. Click the Group button. The Nickname list will appear.
3. Select multiple addresses from the Nick name list by clicking the check box next to each. Type the name of the new group in the Nick name field in order to name the group. Once completed, click the Save button to continue.
NOTE: You can discard changes anytime by clicking Cancel.

Select all
 
When you click Select All, all your contacts are marked for any action you want to perform on them.
 
1. Click Contacts from the left navigation bar.
2. Click Select All. You can then use a command which will affect all of your contacts at once.

Delete a contact
 
1. Click Contacts from the left navigation bar.
2. Click the check box next to the specific Nick name you want to delete and then click Delete button.
3. To delete more than one Nick name at a time, click the check box next to all appropriate nick names and then click Delete. After the deletion is completed, an updated Nick name List will be displayed.
4. To delete all of your contacts, click Select All and then click Delete.

Import Contacts
 
You can import your contact list (in CSV format- Comma Separated Values). Import CSV files from applications such as Netscape Messenger, MS Outlook Express and MS Outlook98.
 
In Netscape Messenger:
 
1.  Open Address Book.
2.  Click File from the title bar.
3.  Click Export.
4.  Save the file to a chosen location with a .csv extension.
 
In Microsoft Outlook 98 and Microsoft Outlook 2000
 
1.  Click File from the title bar.
2.  Click Import and Export.
3.  In the Export Wizard, choose Export to file and then click Next.
4.  Choose the file type Coma Separated Values and then click Next.
5.  Choose the folder to export (your Address Book folder will usually be "Contacts").
6.  Save the file to a chosen location with a .csv extension.
7.  Click Finish.
 
In Microsoft Outlook Express:
 
1.  Click File from the title bar.
2. Click Export - Address Book.
3. In the Address Book Export Toll, choose Text File and click Export.
4. Save the file to a chosen location with a .csv extension and then click Next.
5.  Select the fields that you want to export.
6.  Click Finish and close the Address Book Export Tool.
 
Import contact list
 
1.  On Contacts page, click on Import.
2.  Click on Browse button.
3.  Locate your csv file that contains all your exported contact information from your Email application.
  Choose whether to Overwrite Older Records. To overwrite older records in your Contact list, check the Overwrite older records checkbox.
  Enabling this option will overwrite your current records with the new records that you are importing in this session.
4.  Click Open. The name and the location path of the file shall appear in the text box on the Import page.
5.  Click on Cancel button to abort Import and to return to Contacts page.
6.  Click on the Import button (bottom of the page).
  A list of contact information fields shall appear.
  The Contact Information field list consists of all the fields that are included in the .csv file, you are currently importing. It also contains all the respective fields in the system that match these fields.
  Some of the contact information fields may not have a respective field in the system. If this situation occurs you will need to choose the most suitable field from the list box.
  Note: if you decide not to choose the respective value from the list box, the specific contact information item shall not be included in the contact information that will be imported to your contact list.
7.  When you are finished adjusting the fields and their respective values, click Import.
  All your contacts shall appear in the contact list page.

    Use Contacts to send Messages
 
Click a Nick name to modify a contact's details.
Click the Email icon to open the Compose page for the corresponding contact.
Click the Message icon to open an ICQ™ message window for the corresponding contact.
Click the Chat icon to open an ICQ™ chat window.

NOTE: This will only work if you clicked the Add to ICQ™ client button in the Add an Address page.

Clicking the Pager icon opens an email to Pager window for sending a message to the corresponding pager.

NOTE: This will only work if you added a Pager Number and Provider in the Add an Address page.
